Group Filtering
Last updated: May 18, 2026
Group filtering lets you constrain which feedback entries belong to a Group by applying a filter. Once a filter is applied, only entries matching the filter criteria will remain in the group. Going forward any new entries outside the filter will not be added to the Group.
Creating a Group with a Filter
You can create a new Group that is pre-scoped to a filter from the start:
Navigate to the Taxonomy page and choose Build New Group.
Chose the filter configuration you want for the Group.
Describe the group you want to create. The filter you chose will be used to sample entries for the Group creation flow
Once the Group is built only entries matching the filter and semantically matching the Group's description will be included in the Group.
The resulting group will display a funnel next to its title, indicating it has a filter applied.
Applying a Filter to an Existing Group
You can apply a filter to any existing group from two locations:
From the Group Detail Page
Navigate to the group you want to filter.
Configure your desired filter conditions in the filter bar at the top of the page. Only Custom Fields (e.g., Product Area, Channel) are supported — system fields (e.g. Groups) cannot be used.
Click the More Options menu (three-dot icon) in the toolbar.
Select "Apply Filter to Group".
A confirmation dialog appears showing:
A preview of the filter conditions that will be applied.
A warning that entries not matching the filter will be removed from the group and all its descendants.
Click "Apply Filter" to confirm.
From the Explore / Taxonomy Page
Configure your desired filter in the filter bar.
Right-click or open the context menu on any group card.
Select "Apply Filter to Group".
Follow the same confirmation flow described above.
What Happens
Entries that do not match the filter are removed from the group and all of its descendant groups.
Going forward, entries outside the filter set will not be added to the group.
The operation runs as a background job. The menu item will display "Applying Filter..." until processing completes.
Once complete, a funnel appears next to the group's title. Hover over it to see the filter conditions.
Scope Children to Parent Group
When applying a filter to a root-level group (a group with no parent) that has child groups, a checkbox option appears in the confirmation dialog:
Scope children to entries in parent group
This option controls how the filter is applied to descendant groups.
Option Unchecked (Default)
All descendant groups receive the same filter. Each child group independently shows all entries that match the filter, regardless of whether those entries also appear in the parent group.
Example: If you filter a parent group to "Source = Slack," every child group will also be filtered to "Source = Slack." A child group could contain Slack entries that do not appear in the parent group's curated membership.
Option Checked
Each child group is further limited to entries that also belong to its direct parent group. This creates a hierarchical drill-down where children are strict subsets of their parent.
Example: If you filter a parent group to "Source = Slack" with this option checked, each child will only contain entries that are (a) from Slack AND (b) already members of the parent group. Grandchildren would be limited to entries in their direct parent (the child group), creating a cascading scope.
This option is only available when:
The group has child or descendant groups.
The group is a root-level group (has no parent of its own).
Adding a Child Group to a Filtered Parent
When you add a child group to a parent that has a filter (via "Assign Children" or "Set Parent Group"), the parent's filter is automatically inherited by the child and all of the child's descendants.
What happens to the child
The parent's filter is applied to the child group.
Any entries in the child group that do not match the parent's filter are removed.
If the parent has "Scope children to parent" enabled, the child gets a specialized filter that limits it to only entries that are members of the parent group (rather than inheriting the same filter verbatim).
What happens to the child's descendants
The filter cascades through the entire subtree. Every group below the newly assigned child is also filtered:
If "Scope children to parent" is enabled, each level in the hierarchy gets its own scope — grandchildren are limited to entries in their direct parent (the child group), great-grandchildren to entries in the grandchild, and so on.
If scope is not enabled, every descendant receives the same filter as the parent.
Timing
This process runs as a background job. Large group hierarchies may take some time to complete. The affected groups will show a processing state during this time.
Editing a Group with a Filter
When you open the "Edit Group" flow on a group that has a saved filter:
The filter is displayed in a read-only filter bar below the edit description field.
A message states: "This group is scoped by the saved filter below. Filters can't be edited from this flow."
You can still describe changes to the group's membership (e.g., "Add more entries about payment issues"). The AI assistant will respect the existing filter — any new entries it adds will match the filter criteria.
To change or remove the filter itself, you must use the "Apply Filter to Group" action from the toolbar with different filter conditions.
Additional Notes
Filter Requirements
Only Custom Fields can be used to filter groups. If your filter bar contains conditions on non-custom fields (e.g., date range, entry type), the "Apply Filter to Group" option will be disabled with the message: "You can only use custom fields to filter groups."
At least one filter condition must be configured. An empty filter bar will show: "Configure a filter to constrain this group to a filter set."
Filter Restrictions on Child Groups
Once a group inherits a filter from its parent, it cannot independently apply a different filter:
"This group is scoped to a parent group and its filter cannot be edited." — The group was given a parent-scoped filter and cannot override it.
"This group inherits scope from a filtered parent and its filter cannot be edited." — The group is a child of a filtered parent and cannot set its own filter.
To change the filter for these groups, update the filter on the root-level parent group.
Merge Restrictions
A group with a filter cannot be merged into another group.
You cannot merge another group into a filtered group.
Filter Indicator
Groups with a saved filter display a funnel icon next to their title — on group cards, in the taxonomy tree, and on the group detail page. Hover over the icon to see a tooltip showing the filter conditions.
While a filter is actively being applied, the icon displays a loading spinner.
Permissions
Applying a filter to a group requires the Taxonomy Update permission. If you don't have this permission, the menu option will be disabled.
Processing State
While a filter is being applied, the group is in a processing state. No other mutations (edits, merges, subdivisions, or additional filter applications) can be performed until the operation completes.
